Your message is not automatically forwarded to the school in Hawaii. We forward an application form or other application documents only after separately agreeing this with you.
1. Controller and contact
FlexCom Kommunikációs Kft.
2151 Fót, Szent Imre u. 94., Hungary
Tax number: 23098976-2-13
academiaschool@flexcom.hu
+36 20 5466 884
The contact form is operated by FlexCom, the Hungarian representative of Academia School. Hosting and email run on FlexCom’s own server.
2. What data do we process, and why?
The form asks for your name, email address, phone number and an optional message. Your name and contact details are required to submit the form. The resulting email also contains the submission time and the language of the form.
We use these details to answer your question, contact you and discuss the course, accommodation or application arrangements you request. The recipient is academiaschool@flexcom.hu, with access limited to staff handling enquiries. The form does not subscribe you to a newsletter.
Where your enquiry is necessary for pre-contractual steps you request, the legal basis is GDPR Article 6(1)(b). Other enquiries are handled under FlexCom’s legitimate interest in responding and maintaining contact, Article 6(1)(f). Acknowledging this notice is not marketing consent or permission to forward your details to the school.
This is an enquiry form, not an application system. Do not use it to send passport numbers, health information or visa documents. We discuss any need for such documents and a safe way to provide them separately.
3. Applications and forwarding to the school
If you wish to apply, we first agree with you which documents are needed, who will receive them and for what purpose. Only the agreed materials are forwarded to Academia Language School in Honolulu. Simply contacting us does not trigger this forwarding.
The school is based in the United States. Before application data is transferred, separate information is required about the recipient, data categories, retention and international-transfer arrangements. Agreement with the customer does not by itself replace the GDPR requirements for international transfers. This notice is not blanket authorisation to send all data abroad.
4. How long do we keep the data?
Enquiry data is kept for as long as needed to answer the enquiry and complete the discussions you request. An enquiry is considered closed when the question has been answered and no further action requested by you remains pending. Data must be deleted when there is no further processing purpose or applicable legal obligation; it is not kept indefinitely merely in case you enquire again.
If the enquiry leads to an application, contract or dispute, data needed for that process may be handled for a separate purpose and legal basis; its retention conditions are explained during that process. FlexCom manages and deletes emails as part of its administration; the form does not automatically delete mailbox content.
5. Self-hosted bot protection
ALTCHA uses a challenge from our own server and a calculation performed in your browser. It does not use an external verification API or bot-check cookie, and does not collect mouse movements or scrolling behaviour.
The purpose is to limit bulk spam and repeated submissions, based on the legitimate interest in protecting the website and email service, GDPR Article 6(1)(f). Keyed IP and email fingerprints, timestamps and counters are kept in private storage. They are pseudonymised, not anonymous. This ledger contains no raw email address, IP address, name, phone number or message. IPv6 addresses share a limit within a /64 network.
The single-use proof is valid for ten minutes. Limits use rolling windows of up to 24 hours. Expired entries are removed by the next successful protection transaction; without traffic they may remain in private storage longer. Web-server technical logging is separate and supports troubleshooting and investigation of abuse.
6. Cookie preferences and analytics
The locally served Silktide manager remembers your choice in your browser’s local storage. Storage needed to remember preferences does not require optional analytics or marketing permission; it is removed when you clear browser data. Optional categories are off by default. You can change your choice at any time using Cookie settings in the footer.
Google Analytics starts only after analytics consent. Technical and usage data may then be sent to Google’s service. The code does not send the form’s name, email address, phone number or message to Analytics. Loading Google Tag Manager makes a technical connection to Google’s server when the page opens; this is not a transfer of the form’s contents.
Analytics or marketing processing is based on consent, GDPR Article 6(1)(a). Withdrawal does not affect the lawfulness of earlier processing based on consent. Google’s data handling and possible international transfers are separate from any school application; further information is provided in its notices below.

7. Your rights and remedies
Depending on the legal basis, you may request access, correction, erasure, restriction or portability, object to legitimate-interest processing or withdraw consent. Send requests to academiaschool@flexcom.hu. We normally respond within one month and inform you within that period of any justified extension. The form does not make legally significant automated decisions about you; if verification fails, you can email or call us.
You can lodge a complaint with the Hungarian National Authority for Data Protection and Freedom of Information (NAIH) and seek a judicial remedy.
